Description:  

Our client is seeking a hard working, experienced administrative professional to provide administrative support to the various departments throughout their Hamilton office.

Education/Experience:  
  • College Diploma in Office Administration is preferred
  • Extremely knowledgeable in Microsoft Office applications:  Word, PowerPoint, Excel, Publisher, and Outlook
  • Dragon Naturally Speaking
  • Two to three years experience in an administrative position
Responsibilities/ Requirements::  
  • Typing minutes for various programs for client and staff meetings
  • Assist with the coordination of workshops/conferences involving advertising, registrations, payment processing, handout preparation, room bookings, and communication with venue site staff to ensure itinerary is followed
  • Create PowerPoint presentations and advertising information
  • OHIP billing
  • Research
  • Assist with meetings including room preparation, ordering meals and refreshments
  • Edit newsletter, receive articles, and develop layout as well as ensuring grammar and spelling are correct
  • Register staff for seminars and workshops and book hotel rooms as needed
  • Office supply maintenance
  • Process payroll
  • Typing bi-weekly and monthly Evaluations
  • Prepare Case Conferences for all programs
  • Prepare Health Care Plans and Evaluations
  • Prepare Progress Reports every four and eight months
  • Assist the Manager as needed (filing, sending out memos/e-mails, etc.)
  • Organize various professional’s schedules weekly
  • Update staff phone lists and Next of Kin lists for various programs
  • Type Client Discharge Plans as required
  • Type and organize Orientation Manuals for clients upon discharge
  • Log referrals for various programs and prepare files and distribute accordingly
  • Type and distribute Intake Reports
  • Maintain an updated forms binder
  • Transcribe Doctor’s notes, annual physicals and any other correspondence
  • Maintain departmental files
  • Attend Senior Administrative Assistant team meetings.
  • Typing as required for appropriate programs (i.e. menus, procedures, memos, forms, charts, etc.)
  • Prepare files for new clients
  • Attend meetings and send out meeting notices
  • Register staff for seminars and workshops, book hotel rooms and flights as needed
  • Order office supplies and other items
  • Distribute interoffice courier
  • Post job postings
  • Provide computer assistance and support to staff, when necessary
  • Provide reception duties at various locations
  • All other duties as assigned
Salary:   $19.05/hr
